Create New List
   
Name of Contact List: Please select the name for this contact list, examples might be Estate Agents or Boys Shoes or whatever you choose that helps you realize the significance of this contact list.
   
Description of Contact List: Type a descriptive name of the list, example, Summer Boys Shoe Lists is our list of customers who have ordered boy shoes as of 6/21/03, etc
   
Method of Creation: This is the method used to create your Email List file. If you decide to upload the file we recommend the following formats:

1) If your file is coming from a spreadsheet like Excel then save the file in .csv format (comma delimitted format),

2) If your file is coming from a word processor like Microsoft Word then save as .txt file again with the comma delimited option.

Make sure that both of your lists, whether in the word processor or in the spreadsheet have descriptive headers over the columns of data that you wish to import. And of course you can email it to us.

 
 
Upload a File
   
Upload a File: Please locate the file on your computer or network that you would like to upload, this should be your .txt (Word) or .csv (Excel) file saved in a comma delimited format.
 
 
Upload Contact List
   
Field Name: These are the descriptive headers that the system has read from your file. They are a sign to Benchmark how your list is organized.
   
Field Type: String - Any alphanumeric values
e.g Highland Street, Block 13

First_Name - First Name of the Person

Last_Name - Last Name of the Person

Email - Email Address

Date_DMY - Date in Day/Month/Year
e.g. 25/12/2003

Date_MDY - Date in Month/Day/Year
e.g. 12/25/2003

True_False - Only True or False allowed

Numeric - Only numeric values allowed.
e.g. 2000

 
 
Advanced
   
Field Name: These are the descriptive headers that the system has read from your file. They are a sign to Benchmark how your list is organized.
   
Data Type: See above description for Data Type.
   
Default Value: This is the value that you want to have appear within this record when you don't have any other data to put in there. For example, suppose you had a list of Athletic Directors with their names etc, but on part of the list you did not have names, you could put in a default value of Athletic Director, which would show up whenever their was no other data present.
   
Email Preference: Please select in which format you would like to send emails to this contact. If you are unsure then select both and our system will detect whether they are able to receive HTML if not it will send the related text file
   
Status: By clicking the status box this enables this address so that it is included in any campaigns you send. If the box is unchecked then this contact will not get your email
 
 
Merge Lists
Merge Lists You can combine/merge any two contact lists that you have. If you choose two contact lists that don't have the same filed names or types the system will try and fill in the blanks for you, give it a try.
 
 
Clean Lists
   
Unsubscribes: These are the email addresses that have clicked on the link to be taken off your list.
   
Soft Bounces: Sometimes for various reasons like, server down or internet router down these emails will not get through and thus are soft bounced. We call this soft because the next time you send them they may go through.
   
Hard Bounces: This is where the receiving email server confirms that this email address is not valid.
 
 
ListBuilder
 
ListBuilder Name: This is the name you should give a contact list you are creating that will hold all of your prospect inquiries from your website. This is where you build the HTML code to be inserted on your web pages where you want to automatically capture prospects email information.
   
ListBuilder Description: Be as descriptive as possible, identifying which website and which information you are gathering
   
Contact List: Identify the already created Contact List that will hold your information. If you have not yet created a Contact List, you must do so before creating your ListBuilder.
   
I will supply my own Image: It is very important that you are able to determine the exact path to your website for the correct image to show up correctly. If you are unsure, please contact your webmaster or administrator. Also, please use our test feature. Please make sure your path is in the form of http://www
   
Select one of our Images: By selecting one of our images you don't need to worry about the location of the image URL (location) since we provide that automatically in the HTML code you will get from us.
 
 
Your ListBuilder Form
 
Select if Yes: Click on the field that you would like for the prospect to fill out online in your form
   
Mandatory or Required Input from Prospect: By selecting this option you are requiring your web inquirers or prospects to input information within this field. If they don't it will not complete.
   
Label Your ListBuilder Form: This is the Form Label that the web inquiry will see

Your Subscription Method
 
Which of the following two option would you like to choose: You have the option to immediately include inquiries into your database, which is called single opt-in or you can choose that they receive an email, which they then must click-on to agree to be included within your contact list.
   
If Sending an Email: If you wish to have your prospects complete the Double Opt-in Process this is where you type in that message that you wish for them to receive
 



 
New Email Layout
   
New Email Layout Name: Please use a descriptive name
   
Use Contact List: You can create an email layout template without selecting an email list. But before sending you will need to go back and select a list. Also, if you doing an personalization of your email layout, you need to identify your Contact List
 
   
Select the Desired Email Layout
   
Utilize Templates: Please select one of our base templates as a starting point for you to create your email layout
   
Use Your Own HTML & Text Template: With this option you can pick your own HTML file that you may have already created or had your designer create. This file can be uploaded into your Layout by selecting the Browse button. In addition, you can also select a custom text file you may have created. This text file will be delivered based on the preferences for you email recipients. If you have selected HTML or Text then Benchmark will first try and deliver the HTML if that does not go through it will try the text, and it will use the text file you have uploaded with your HTML file. If you prefer the system to create a text file from your HTML file that is also possible.
 
   
From and Subject Lines
   
From: Clearly identify yourself. Your email receipients like to know exactly who is sending them email and what it is for. For example, say Promotion from John Smith Company. You don't need to put in any email address the system handles that automatically.
   
Subject: This is the Subject Field of your email. You are given the option of personalizing. You can choose to add fields from your contact database. You could put in First and Last Name, or as many fields you want. Keep in mind that most email clients only accept 50 characters in the subject field. Also, if you click on the Pls. forward to a friend this will be added to the back of your email subject
 
   
Review Template Edit Text
   
Enter URL Link Here : You have the option of adding a link to your website or any other URL from within your e-mail. To do so, type the desired URL in this field.. e.g. http://www.google.com. Leave blank if you do not want a link.
   
Enter the Link Copy Here: Enter the copy that will be displayed on the URL, e.g.Click Here To Visit Our Website
   
Enter URL address of your Image: You may add an image to your email from your website. This is the address to access your image from your website, e.g. http://www.google.com/images/logo.gif Please note, the image must be on an existing web site in order to upload it. You can not use an image from your hard drive.
   
Destination of your URL when image is clicked: This is where you want the reader of your e-mail to go to if they click on the image. e.g. http://www.google.com
   
Description of your image when mouse is rolled over image: This is a description that shows up on the image when you move your computer mouse over that image.
 
   
Unsubscribe Setting
   
Link Message for Unsubscribe: Pick the sentence that you would like displayed at the bottom of your email. This will allow recipients of your campaign to automatically unsubscribe from your list if they wish.
 



 
Create New Campaign
   
Name of Campaign: Please be descriptive in naming your email campaign
   
Description of Campaign: Put in as detailed of an explantion as you can as this will help you later on to identify which campaign is which.
   
Which Create Email Layout to us: There is where you pick the email layout that you would like to use with this Campaign. For each Campaign there is a corresponding Email Layout that relates to it. Also, there is a Contact List that relates to each Email Layout.
   
Accompanying Contact List to that Email Layout: This is not changeable here. It is provided for your reference only.
   
Change my Contact List to: We do not recommend changing lists once you have created your layout. However, if your e-mail does not include any personalization from the Contact List, then you can specify a different contact list.
   
Description of List: This is provided for reference only and is not editable here. You need to go to your Email List section of you wish to change the description.
 
   
Campaign Settings
   
Click on the URL's you would like to track: This is where you select which links (URLs) you would like to keep track of. The clicking of these links by your email receipients will be tracked and reported on in the reports section of the site.
 
   
Campaign Reply Setting
   
Forward Emails to: If one of your email receipients happens to reply to your email by clicking the reply button, or if they have an automatic reply, then, this is where you specify the address you would like that reply email to go to.
   
Auto Reply (box): If you want to automatically reply to their reply you can click this box.
   
Auto Reply Text:  
 
   
Test Campaign
   
Send test campaign to: This is the test email address that you would like to send the email to.
   
Or select test contact list: You can specify a list if you wish. Remember, the list needs to be created in the Email List section.
 
   
Schedule Campaign
   
Schedule campaign for: You can schedule campaigns up to a year in advance. All campaigns are sent based on EST. They can be scheduled in 15 minute increments.
 
   
Browse Campaigns
   
Draft: These are Campaigns that you have setup but have not yet been scheduled. You may not have all the details yet to schedule your campaign. All the preferences you have selected have been saved.
   
Scheduled: This is a Campaign that you have assigned a specific time and date for the Campaign to start sending. The Campaign at this stage is still editable. In fact, if you wish to unschedule your campaign simply click on Save Unscheduled before the Campaign starts to Send.
Sending: Once the Campaign is in the Send mode it cannot be edited.
   
Finished: Finished Campaigns are not editable. It's important not to delete finished campaigns until you have fully analyzed the reports relating to the Campaign. Once the Campaign is deleted you will not be able to generate reports on that campaign.

 
   



 
Campaign Activity Summary
   
Recipients: The total number of email recipients in this campaign.
   
Recipients who opened email: The number of email recipients who actually opened your email
   
Recipients who clicked any link: The number of email recipients who clicked on any hyperlink in the email.
   
Click-Through's: The number of email recipients who clicked on any hyperlink which you wanted to keep track of.
   
Recipients who replied to email: This is the number of email recipients that replied to your email by clicking the reply button.
   
Recipients who Unsubscribed: The number of recipients who clicked on the unsubscribe button.
   
Add to Sub-lists: By clicking and confirming on this link you can automatically create an additional Contact Email List. You can automatically create a list of all the recipients who opened your email in this campaign. You can create a list of recipients who clicked on any link and or who clicked on one of your trackable links. Also, you can get a list of the unsubscribes if you wish. This is a very powerful feature as it allows you to send follow-up campaigns easily.
 
   
Click Through Reports
   
Click Through by Day: Measure the number of click throughs on your campaign by day.
   
Click Through by URL: Measure the number of click throughs on your campaign by URL, (Uniform Resource Locator, it's your link)
   
Click Throughs by Day and by URL: Get both of the above in one report.

 
   
Contact List Statistics
   
Previously Unsubscribed: The number of users in the contact list who have opted to unsubscribe, but have not yet been cleaned from the list. These Contacts would be filtered from receiving any further emails.
   
Total Filtered by User Preferences: The number of users whose mail preference does not match the campaign content.
   
Total Mails Sent in this Campaign: Total number of Emails in the contact list, less total of previously unsubscribed users and users whoes mail preferences do not match the campaign. These are the emails to whom the campaign has been sent. Email Bounces are included in this total, as these are determined only after the campaign has been delivered. Email Forwards are not included in this total.
   
Total Bounced: Total of all bounced emails both Hard and Soft.
   
Hard Bounce: Emails addresses recognized by the server as not valid.
   
Soft Bounce: Email addressess recognized by the server as not working right now, may work in the future. Reasons for this acould be - Server is down, etc
 
Total Mail Received: Total number of recipients who actually received the email.
 
Total Opened: Total number of the recipients that actually opened and looked at the email.
 
Total Unsubscribed: Total number of recipients that have requested to be taken off the contact list via the unsubscribe feature.
 



 
Change Password
   
New Password: The new password for your account;
 
Confirm Password Enter the new password again, for confirmation.
 
My Profile
   
Email: This is the email account to which all correspondence for the account will take place
